Exhibitor Information & Guidelines

These guidelines are provided to help exhibitors plan for FFLC 2026. We aim to be flexible and easy to work with, so please contact NAFIC if your setup or removal needs differ from the preferred schedule below.

Preferred Setup

Wednesday, September 23
8:00–11:00 AM

Final instructions will be provided before the event.

Exhibiting Hours

Wednesday during registration, conference activities, and the Welcome Reception.

Thursday during scheduled programming, meals, and breaks.

Times are preliminary and may be adjusted.

Preferred Removal

After the final conference session on Thursday, September 24.

Contact NAFIC if another arrangement is needed.

General Terms

Payment

All sponsorship and exhibitor fees must be paid by the deadline shown on the invoice unless other arrangements have been approved by NAFIC.

Gold Sponsor / Meeting Exhibitor

These are the same sponsorship level and price. Select Meeting Exhibitor to receive table space. Select Gold Sponsor if no table is needed.

Exhibitor Space

Meeting Exhibitor registration includes one skirted table and two chairs. Electrical service, shipping, storage, and special equipment are not guaranteed and may require advance arrangements or additional hotel charges.

Space Assignment

NAFIC determines exhibitor locations and may adjust table assignments when needed for event operations, accessibility, safety, or the overall attendee experience.

Care of Property

Exhibitors are responsible for damage caused by their displays, equipment, employees, representatives, or guests to the hotel, conference property, furnishings, or equipment.

Registration and Badges

Exhibitor representatives must be registered for the conference and wear their conference badges while participating in conference activities.

Conduct and Compliance

Exhibitors must comply with applicable laws, hotel policies, fire and safety requirements, and reasonable instructions from NAFIC or hotel personnel.

Cancellation or Removal

NAFIC may cancel or remove an exhibit for nonpayment, unsafe conduct, disruption, or failure to comply with these guidelines. Refund eligibility will depend on the circumstances and expenses already incurred.

Liability

Exhibitors are responsible for their property and participation. To the extent permitted by law, NAFIC and the venue are not responsible for loss, theft, injury, or damage arising from an exhibitor’s participation, except where caused solely by their proven negligence.

Schedule Changes

Conference schedules, exhibiting hours, table locations, and related arrangements may change. NAFIC will communicate material updates as soon as reasonably possible.

By submitting a sponsorship or exhibitor registration, the organization acknowledges these guidelines and authorizes NAFIC to invoice the selected sponsorship level. Final event logistics will be communicated before the conference.
